Templates are messages regarding a variety of notices. They can be sent via email or printed and mailed to Lumens users.
You must be a registered Power User to view the list of email and print templates in LUMENS; select SYSTEM OPTIONS/template management. Below is an overview of each template:
Class Reminder
• E-mail: Automatically sent to all students a set number of days prior to the start of a class. This email is optional. You can activate this message and enter the number of days in System Options/Power Users/General Settings.
External Room Reservation
• E-mail: Automatically sent when Staff makes an external room reservation; provided the room includes the Contact Email Address and YES has been checked for ”Automatically generate email reservation request?”.
Gift Card Notification
• E-mail: Automatically sent to the recipient of an eGift Card purchase, provided a valid email address is entered when the purchase is made
Instructor Confirmation
• E-mail: Sent to an instructor with a valid e-mail address in LUMENS by Staff; to confirm his/her class as it will appear in the printed and online catalog.
• Print: May be printed and mailed to an instructor by Staff; to confirm his/her class as it will appear in the printed and online catalog. .
Instructor Profile Notice
• E-mail: Automatically sent to an instructor with a valid e-mail address in LUMENS when his/her instructor profile is created or when requested by Staff from Instructors/Instructor Profile/Profile Notice.
• Print: May be printed and mailed to an instructor when requested by Staff from Instructors/ Instructor Profile/Profile Notice..
Learner Confirmation
• E-mail: Automatically sent to a student with a valid e-mail address in LUMENS when either the student or Staff member successfully completes a class registration.
• Print: May be printed and mailed to a student when Staff successfully completes a class registration. Alternately, a student can print the Learner Confirmation when s/he successfully completes a class registration and/or by clicking the Registration Confirmation link within his/her Current Registrations,.
Learner Profile Notice
• E-mail: Automatically sent to a student with a valid e-mail address in LUMENS when he/she creates their own student profile or when Staff creates the student profile. Alternately, staff can email the profile through Students/Student Management/Profile Notice. Print: May be printed and mailed to a student by Staff through Students/Student Management/Profile Notice.
Learner Reminder
• E-mail: Automatically sent to registered students with a valid e-mail address in LUMENS when Staff confirms a class through the GO/NO GO feature.. This email is optional and can be activated in System Options/Power Users/General Settings
Learner Transfer Confirmation
• E-mail: Automatically sent to a student with a valid e-mail address in LUMENS when Staff successfully completes a transfer from one class to another.
• Print: May be printed and mailed to a student when Staff successfully completes a transfer from one class to another.
Room Reservation Request
• E-mail: Automatically sent when Staff makes a class reservation for one class meeting or all meetings not currently assigned to a room; provided the room includes the Contact Email Address and YES has been checked for ”Automatically generate email reservation request?”
Send This Class to a Friend
E-mail: Guests and/or Students can trigger this email from the class detail page for any class. This email provides class information and a link back to your Lumens web site.
Waiting List Notification
• E-mail: Automatically sent to a student with a valid email address in Lumens when Staff adds the student to a Class Waiting List.
