Accounting Code

DEFINITION: The Accounting Code report displays transaction totals by accounting code during a transaction date range. It also shows the Account Balance payments.

Accounting codes are determined at the initial start when using Lumens. This decision is based on the institution's accounting practices. To initiate the accounting codes in Lumens, go to System Options, Financial Policies.  

 

Accounting codes are used for : Categories, Subcategories, Courses Classes, and Locations. These levels allow you to summarize money taken in (payments) verses money going out (refunds.  These levels allow you to control what levels you want to keep track of Accounting Codes.  Both Accounting Code and Revenue are reports that track accounting codes.

 

Because Lumens is not accounting software, the Accounting Code report is really designed to track the ‘cash flow’ that is the result of the Open Enrollment registrations and Customized training.  So in a way it equates to a revenue subsidiary journal.

 

The ‘Revenues/CR’ column represent dollars coming INTO the organization, because a ‘credit’ in a revenue account represents an increase. 

 

The ‘Expenses/DR’ column represents dollars going OUT of the organization, because a ‘debit’ in a revenue account represents a decrease.  So the Expense column represents dollars that are going out because of refunds, or it represents the ‘transfer out’ portion of a transfer.  It does NOT represent Class Costsl.  We have the ‘class cost’ fields in the software so they can be used in other reports for more in-depth data analysis, but they are not part of any financial reports.
